Clean and Analyse data in Excel in 15 minutes

by | May 28, 2026 | Microsoft 365

Messy data is one of the biggest productivity killers in business. Whether you’re working with reports, exports from systems, or customer lists, poor data quality leads to errors, wasted time, and bad decisions.

The good news?
With a few simple Excel techniques, you can clean and analyse your data in as little as 15 minutes.

This guide walks you through a practical, step‑by‑step process used by professionals every day.

Step 1: Remove Duplicates (2 minutes)

Duplicate data can distort reports and create confusion. Analyse your Excel data to remove any dupliates.

How to remove duplicates in Excel:

  • Select your dataset
  • Go to Data → Remove Duplicates
  • Choose the columns to check
  • Click OK

Tip: Always keep a backup before removing duplicates.

Step 2: Clean Up Text (3 minutes)

Step 3: Fix Errors and Blanks (2 minutes)

Blank or incorrect values can affect analysis and stop tools working correctly.

“N/A”
0 (for calculations)

HOW?: Use Find & Replace (Ctrl + H) to standardise entries

Check for errors:

Filter your data

Step 4: Format Data Correctly (2 minutes)

Excel only works properly when your data is in the correct format.

Format data in Excel

 Common fixes:

  • Convert text to numbers
  • Ensure dates are recognised as dates
  • Apply consistent formats (currency, percentages)

Quick method:

Select column → Home → Number Format

Watch out: Dates imported from systems often appear as text.

Step 5: Turn Your Data into a Table (1 minute)

Tables make analysis faster and more powerful.

How:

  • Select your data
  • Press Ctrl + T (or Insert → Table)
  • Confirm headers

Benefits:

Built-in filters
Automatic formatting
Easier formulas

Step 6: Analyse with Pivot Tables (4 minutes)

This is where the real value happens!

How to create a Pivot Table:

  • Select your table
  • Go to Insert → PivotTable
  • Choose where to place it:
Drag fields into: Rows, Columns and Values

Example:

Sales data → sum revenue by region
Staff data → count employees by department

Pivot Tables instantly summarise thousands of rows.

Step 7: Add Quick Insights with Charts (1 minute)

Turn your data into visuals for better understanding.

How to summarise your Pivot Table into a Chart:

  • Select your Pivot Table
  • Go to Insert → Chart
  • Choose a simple chart (bar or column works best)

Charts help stakeholders understand your data quickly.

Why This Matters for Businesses

Poor data leads to:

  • Incorrect reporting
  • Bad decisions
  • Lost time

Clean, structured data allows you to:

  • Make faster decisions
  • Spot trends instantly
  • Improve productivity
