The Top 10 Keyboard Shortcuts You Should Probably Know

There are so many shortcuts that we could include in an article – so many that in fact it would take you a week to read!  However, we’ve been delivering training courses for a long time and so we though we’d pick out what we think are the top 10 Microsoft shortcuts you should know… perhaps you know them all already?  Let us know your favourites.

Ctrl  Home

Moves the cursor to the beginning of a document.  This shortcut should work in all applications.  So, it will take you to cell A1 in Excel, to the top of your Microsoft Word document, to the first slide in your PowerPoint presentation and even to the top of a PDF document!

Ctrl  End

Moves the cursor to the end of a document.  This shortcut should work in all applications. So, it will take you to the cell populated with data in Excel, to the end of your Microsoft Word document, to the last slide in your presentation and even to the end of a PDF document!

Ctrl  Z

The keyboard shortcut to Undo – or go back and undo your last action.  Probably the most useful command in the software.

Ctrl  B

Make the selected text bold.

Ctrl  C

Copy the selected text.  This takes a copy of your selected text and places it on the clipboard.  It will hold it there until you use the Paste command (see shortcut below). 

Ctrl  X

Cut the selected text. This takes your selected text and moves it onto the clipboard.  It will hold it there until you use the Paste command (see shortcut below). 

Ctrl  V

Paste the text you either copied or cut (see above shortcuts).  This shortcut pastes the information from the clipboard to the selected location in your document.  It will generally paste the last item you either copied or cut (see shortcut above).

Ctrl  F

Search the document for text.  This shortcut opens the Find dialogue box.  You then type in the text you wish to search for.

Ctrl  A

Select everything in the document.  A useful command for selecting the whole of the data in the document.  This works in Excel by selecting the populated cells in a data range, or if you’re using this shortcut in Microsoft Word, it will select all the text in the whole document.

F4

Repeat my last action.  A true crowd pleaser on our Microsoft courses.  An example use for this shortcut – insert a new row in Excel and then F4 to add more.
