Microsoft Outlook versions – which Outlook should you be using?
If you’ve searched for help with Outlook recently, chances are you’ve come across advice that doesn’t quite match what you see on your screen. That’s because “Outlook” is no longer a single application – it’s a family of different apps, all sharing the same name but behaving in very different ways.
Today, Microsoft offers:
- Classic Outlook on Windows
- New Outlook for Windows
- Outlook on the web
- Outlook on mobile (iOS and Android)
To make matters more confusing, Microsoft is actively encouraging users to move towards the new, web‑based Outlook experience – even though many organisations still rely on features only available in the classic desktop version.
This has led to a common problem we see in training and support:
“I’m following the instructions, but I don’t have that option.”
In this article, we’ll break down each version of Outlook, explain how they relate to one another and clarify which one Microsoft is investing in moving forward. Whether you’re an end user trying to make sense of the changes, or an organisation planning training or migration, understanding the differences has never been more important.
Microsoft Outlook (Classic Desktop – Windows)
This version is often called: “Classic Outlook”
Despite Microsoft’s push towards New Outlook, there are very real reasons why many users – particularly in business environments – prefer to stay on Outlook (Classic) for now.
Classic Outlook includes several capabilities that are either missing or limited in the New Outlook, including:
- Advanced mail rules
- Full PST file support
- COM and legacy add‑ins
- VBA macros
- Deep calendar and delegate management
For users with established workflows, these features are business‑critical. Microsoft itself publishes a feature comparison showing that parity has not yet been reached.
Classic Outlook offers better offline working and support for several mailboxes as well as compatibility with existing systems.
- Classic Outlook is still supported and have extended support until April 2029
- Microsoft is encouraging users to move away from it
- Some features will not be added to this version going forward
New Outlook
Often called “New Outlook” or “Outlook (New)”
This is the default version that comes with Microsoft 365, although it can be switched back to Classic Outlook. This is Microsoft’s future Windows Outlook.
Pros:
- Modern app based on Outlook on the web
- Runs on Windows only
- Can be toggled on/off in Classic Outlook (for now)
- Uses:
- Microsoft 365 / Exchange Online
- Microsoft Entra ID (Azure AD)
Cons
- No PST support
- Fewer advanced rules
- Limited add‑in support
- No full offline mode
- Still missing some enterprise features
Microsoft Outlook on the Web
Accessed via your web browser: https://outlook.office.com
- Works on any device with a browser
- Feature‑rich for email, calendar, people
- Same UI and experience as New Outlook
This version is always up to date and requires no installation.
Note: you can use this version on any device. For phones, you can also download the Outlook App.
